Task Management

Tasks keep your team organized and accountable. Every follow-up, inspection, document request, and action item can be tracked as a task — linked to the property, person, or company it relates to.

All Tasks View

Navigate to Tasks from the sidebar (or the Tasks widget on your dashboard) to see all tasks across your organization.

The task table displays:

  • Task — title and description
  • Priority — Low, Medium, High, or Urgent (color-coded badges)
  • Assignee — the team member responsible
  • Due Date — when the task is due
  • Context — the linked entity (property, person, or company)
  • Status — Pending or Completed

Tasks are organized into Pending Tasks and Completed Tasks sections, each collapsible.

Filtering Tasks

Click Filters to narrow your task list:

  • Assignment — All, Assigned to me, Unassigned, or a specific team member
  • Status — All, Overdue only
  • Sort — by Due Date, Priority, or Created Date

Task Detail Panel

Click any task to open its detail panel on the right side.

The detail panel shows:

  • Title and description at the top
  • Priority badge (Low / Medium / High / Urgent)
  • Visibility badge — Hidden or Visible (controls whether the task appears on client-facing portals)
  • Due date and assignee
  • Status toggle — click Complete to mark done, or Pending to reopen
  • Linked To — the property, person, or company this task relates to. Click to navigate to that record.
  • Comments — a threaded comments section for team discussion on the task

Creating a Task

You can create tasks from multiple places:

  • Tasks page — click + New in the top bar
  • Dashboard — click + New in the Tasks widget
  • Entity detail panels — from the Tasks tab on any property, person, or company
  • Deal detail pages — from the deal portal's task section

When creating a task, you'll set:

  • Title (required) — a clear, actionable name
  • Description — additional context or instructions
  • Priority — Low, Medium, High, or Urgent
  • Due Date — when it needs to be done
  • Assigned To — search and select a team member
  • Entity link — optionally link to a property, person, or company

Recurring Tasks

When creating a task, you can set a recurrence rule to automatically create follow-up tasks on a schedule:

  • Daily — repeats every day
  • Weekly — repeats on the same day each week
  • Monthly — repeats on the same date each month
  • Custom interval — set a specific number of days between recurrences

Recurrence can be limited by an end date or a maximum number of occurrences.

Task Requirements

Tasks can include requirements that must be fulfilled before the task is considered complete:

  • File upload requirement — the assignee must upload a specific type of document (e.g., inspection report, photo, signed agreement). You can specify a purpose tag and instructions.
  • Signature requirement — the assignee must provide a signature on a document.

Requirements can be marked as required or optional, and you can enable auto-complete so the task automatically marks as done when all requirements are fulfilled.

Entity-Scoped Tasks

Tasks appear in the Tasks tab on every property, person, and company detail panel. This gives you a contextual view of all action items related to that specific record.

From an entity's Tasks tab, you can:

  • View all pending and completed tasks for that entity
  • Create new tasks pre-linked to the entity
  • Complete or reopen tasks inline

Tips

  • Quick complete — click the circle checkbox on the left side of any task row to mark it complete without opening the detail panel
  • Overdue tracking — overdue tasks are highlighted and can be filtered to focus on what needs immediate attention
  • Comments for context — use task comments to communicate about progress without switching to email or chat
  • Linked navigation — click the Context column in the task list to jump directly to the related property, person, or company
