Files & Documents
Files is your drive. Every document your organization works with — photos, contracts, rent rolls, floor plans, presentations and documents out for signature — lives here in one place, organized into folders.
The drive
Navigate to Files from the sidebar to open your drive.
The drive opens at the root, showing your folders alongside any files that have not been filed into one. Folders are listed first. Click a folder to open it and see what it contains; use the folder tree on the left, the breadcrumbs across the top, or Backspace to move back up.
Everything lives in one list. A folder can hold uploads, documents, presentations and documents out for signature side by side — whatever belongs to that deal or property, in the place you would look for it.
Filtering by type
The rail on the left groups the drive by what things are: Uploads, Documents, Presentations, For signing. Each carries a count of that type in your current location, and a type with nothing in it does not appear.
Folders are deliberately not one of the groups — the folder tree sits immediately beneath, and offering them twice within an inch of each other is two controls for one thing.
On a narrow screen the rail is hidden, and the chips below the breadcrumbs do the same job.
Filtering does not move you. If you are inside 1420 Wabash — Acquisition and press For signing, you see the signing documents in that folder, not every signing document you own. Press All to clear the filter.
Type used to be a separate browsing mode that replaced the folder view. It is now a filter you combine with a folder, so you never have to give up one to get the other.
Searching
The search box in the top bar searches the whole drive, not just the folder you are in — so you can find something without remembering where you filed it. Results span every type.
List and grid
Switch layouts with the toggle in the top bar:
- List — the default. Sortable columns for name, size and date, plus the record each item is linked to, signature status, and owner.
- Grid — previews, best when the folder holds photos, offering memorandums or other visual work.
Click any column header in list view to sort by it; click again to reverse.
Previews in the grid
A grid card shows the thing itself, not an icon for it: a photo, the first page of a PDF, the first slide of a presentation, the first page of a document out for signature. Previews are made shortly after a file arrives — upload a folder of site photos and they fill in one by one as you watch. A presentation's preview is refreshed after you edit it, the next time the drive is opened.
Spreadsheets, Word documents and other formats without a first page to show keep their type icon. Click a photo's card to open it full size, a PDF to read it in the app, and anything else to open it in its editor.
The grid is available on a phone too, where two columns of site photos are far easier to tell apart than a list of file names.
Your place is a link
The folder you are in, the filters you have applied, the sort order and the layout all live in the page address. Copy the URL and you are sending someone the exact view you are looking at, not just the Files page.
Organizing files
Moving things
Drag any item onto a folder — in the list, in the grid, in the folder tree, or onto a breadcrumb — to file it there. Every type can be filed, including documents out for signature.
You can also use Move to folder in an item's ⋯ menu.
Working with several at once
Tick the checkbox on any row or card to select it. Hold Shift while clicking to select a range, or press ⌘A / Ctrl+A to select everything in view.
Once anything is selected, an action bar appears at the bottom with Move to, Download and Delete. Dragging one of the selected items moves the whole selection. Press Escape to clear it.
Creating things
Click + New:
- Upload file — drag and drop or browse. Uploads land in the folder you are currently in.
- New folder — created inside your current folder, so nesting takes no extra step.
- New document — opens the document editor.
- Blank presentation / From template — opens the presentation builder.
- Document for signing — opens the signing wizard.
Uploading files
When uploading, you can set:
- Name and description
- Purpose tag — a color-coded label for the file type (photo, contract, rent roll, floor plan)
- Access level — Private, Team, Organization, or Custom
- Folder — defaults to wherever you are in the drive
- Deal — on a property, optionally the deal the file belongs to
- Task fulfillment — if the upload satisfies a task requirement, link it directly
Uploading from a record's Files tab links the file to that record. Uploading into the drive links it to nothing; see Linking files to records for how to attach it afterwards.
Opening a file
Click a file to open it:
- PDFs open in a viewer inside the app — zoom, scroll through the pages, download from the top bar, or press Esc to go back to the drive.
- Images open in a lightbox, so you can page through a folder of site photos without leaving the drive.
- Documents, presentations and signing documents open in their editor.
- Anything else — spreadsheets, Word documents — has no viewer here, so the app says so and offers the download.
File details
The details panel is in the row menu (⋯ → Details), and behind the info button when a file is open:
- View and edit the name and description inline
- Download the file
- Share with team members or clients
- Archive or Delete
- Information — size, type, upload date and uploader
- Linked To — the records the file is about, and where to change them
Linking files to records
A file is about something — a property, a deal, a person, a company or a portfolio — and linking it to that record is what puts it on the record's Files tab and fills the Linked to column in the drive. A file can be linked to several records at once: the offering memorandum on a deal and on the property it concerns, the LOI on the deal and on the buyer.
To link a file, open ⋯ → Link to record on its row, or Add under Linked To in the details panel, and search by address, name, company or deal title. To unlink, hover a linked record and use the trash icon. Deleting a link never touches the file.
Files uploaded from a record's Files tab, or saved from an email with a property or person chosen, arrive already linked. Anything dropped straight into the drive is linked here.
An agent can do the same: files.file.link and files.file.unlink attach a file to a record and remove it, and files.file.get returns the records a file is linked to.
Documents for signing
Everre includes built-in document signing.
Creating a signing document
Use the Signing Document Wizard:
- Choose a document template or upload a PDF
- Define signature fields and their positions
- Assign signers from your CRM
- Send for signature
Tracking signatures
Signing documents sit in the drive like any other file and carry a status in place of a file size — Draft, Out for signature, In progress, Signed, Declined, Cancelled or Expired. The status shows in the list, on the grid card, and in the details panel.
Because they are ordinary drive items, they can be filed into the folder for the deal they belong to, moved in bulk, and found by search. Filing a signing document works at any stage, including after it has been signed — organizing a completed agreement does not change its contents.
Opening a document tells you what it needs. A draft opens on the field editor, where you place signatures and assign each field to a signer. Anything already sent opens on its signing progress instead: who has signed and when, who has opened it without signing, and who is still waiting.
From there you can remind one signer without re-sending to everybody, download the document as it stands, and void the request with a reason that is recorded and shown to anyone who opens it afterwards. Voiding is how you stop a document that is out — deleting the record would strand the links already sent.
Signature events can trigger workflow automations, such as creating a task when a document is signed.
File permissions
Control who can open each file:
- Private — only you
- Team — your team members
- Organization — everyone in your organization
- Custom — specific users or teams
Use the File Permissions dialog to configure access for any file.
Files on properties, people and companies
Files also appear in the Files tab on every property, person, company and deal. It is the drive itself, narrowed to that record: the same list and grid, the same type filters and counts, the same row menu.
It shows the uploads linked to the record, signing documents with their status, and presentations bound to it. New offers an upload, a property presentation, and a document for signing already addressed to that record.
Presentation builder
Create data-driven marketing presentations — offering memorandums, rent roll summaries, comp grids — directly from your CRM data. In Files, click + New, then Blank presentation to open the builder.
Generating layouts
Open a presentation, click Generate in the top bar, and select a property to base the layout on. The builder walks through a short sequence of stages, showing the current step as it goes. The generated slides appear on the canvas ready to edit.
If a transient issue occurs during generation, the builder retries automatically before surfacing an error, so brief network hiccups resolve without any action on your part.
Richer property data in generated layouts. When you generate for a specific property, the builder draws on the full set of fields available for that record — address, asset class, square footage, asking price, cap rate, zoning, year built, and more — so the layout references the same depth of detail you see in the property panel.
Formatting and accessibility carry through. Bold text, links, and line breaks in the generated layout are preserved when you share the presentation. Screen reader labels on elements are retained, so shared pages meet the same accessibility standard as the editor view.
Binding a property or deal
Open the Data Binding panel in the right sidebar and select a property or deal as the data source. Once bound, any text element on the canvas can display live values from that record — address, asking price, cap rate, square footage, and more.
To bind a text element:
- Select the element on the canvas
- Click the field picker in the Data Binding panel
- Choose a field from the list — the element immediately displays the live value
